Introduction

SwimConnection LLC respects the privacy of our users. Because our Club Pages Central web site presents information about swimmers and because some of these swimmers are children, we are spelling out our privacy policy below to explicitly describe our use of this information.

What Information is Collected and How We Collect It

The swim meet results data that we present is obtained from organizations that sanction the swim meets (such as the LSC Pacific Swimming) or from organizations that host or participate in the swim meets (such as summer league clubs.) In order to sort or organize the data we obtain, we may ask these providers of swim meet results to also provide personal information about the swimmers including name, sex, and date of birth.

The membership information that we collect comes directly from your membership registration. We collect four pieces (and sometimes five) of personal information (first name, last name, email address, and whether or not the registrant is 12 and under, and the email address of the parents if the member is 12 or under) and a set of personal preferences (username, password, team to affiliate with, member category such as parent or swimmer, which swimmers to report, and which reports are desired) that allow us to make our member services function properly.

To process Online Meet Entries, we collect the name, the email address, and the credit card billing address of the person paying for the meet entries. On a secure page, we collect the credit card number and send it to our merchant card processor for processing. We do not store any credit card numbers on our servers.

How We Use the Information

The swim meet results data that we collect is presented in a variety of formats on the Club Pages Central web site. In order to protect the exact birth dates of the swimmers, we only list the age of each swimmer accurate to one decimal place. We do not sell, distribute, trade or otherwise transfer personal information obtained from any member user to any third party.

The membership information that we collect is used by us to identify the member whenever the member accesses the site and to determine which reports are to be emailed by us to the member. Announcements of general interest to the swim community (such as meet information from a Meet Director or an awards banquet notice from the LSC) will be blanket emailed periodically to all members; however, the email addresses of the members are not accessible to the sender. We also identify which members are under the age of 13 so that we can comply with the Children's Online Privacy Protection Rule, Federal Trade Commission 16 CFR Part 312.

The name and billing address information collected to process credit card payments for Online Meet Entries is used by our merchant card processor to validate the credit card used. This validation step is used to prevent fraud. As far as the Online Meet Entry information entered by the user, that information is collated and provided to the team hosting the swim meet. The hosting team has access to the name of the person making the online entry and their email address in the event the hosting team needs to contact all meet entrants (if the meet were to be cancelled, for example.)

Sponsors, Advertisers, and Third-Party Sites

Compliance with the Children's Online Privacy Protection Rule,
Federal Trade Commission 16 CFR Part 312

Because some of our members are under the age of 13, to comply with the Children's Online Privacy Protection Rule, we are providing notice on this site and also by email to parents with respect to the collection, use, and disclosure of children's personal information. As a part of the registration process, we flag all users that are under the age of 13 and require that these registrants provide their parent's email address. Parents are then sent the disclosures by email.

Swim Connection is also exempt from obtaining prior verifiable parental consent for the collection of children's personal information (Section 312.4(c)) because Swim Connection will not use the information to contact the children beyond the scope of their request. The disclosure email sent to the parents also contains an opt-out provision.

Cookies and How We Use Them

A Cookie is a small piece of information that a web site writes to your hard disk. Because Club Pages Central dynamically generates many of its results pages, a cookie is used to maintain user information (such as the swimmer's club affiliation) during each visit or session. Cookies are also used to gather tracking information and to monitor the presentation of advertisements. We do not link the information collected through cookies to any personally identifiable information provided by users. Cookies do not contain any information that is, in itself, personally identifying.
